Booking Terms & Conditions

All reservations and travel services provided by Nepal View Trek Pvt. Ltd. ("we," "our," or "the Company") are governed exclusively by these Terms and Conditions. When you make a booking on behalf of yourself or a travel group, you guarantee that you possess legal authority to accept these conditions on behalf of all party members named on the booking.

Trekking, mountaineering, and wilderness touring in the high Himalayas of Nepal, Tibet, and Bhutan involve inherent elements of remote geographic isolation, extreme weather, altitude, and physical exertion. By booking with us, you voluntarily accept the personal risks associated with such expeditions.

To secure and confirm your trip reservation, the following payment conditions apply:

Balance Payment Upon Arrival

The remaining balance of 80% (or 70%) must be settled in full upon your arrival in Kathmandu, prior to trip briefing and departure for your trekking trailhead.

• Accepted Payment Methods: Cash in major convertible currencies (USD, EUR, GBP, AUD, CAD, CHF, JPY) or Nepalese Rupees (NPR) calculated at the official Nepal Rastra Bank exchange rate of the day.
• Credit / Debit Card: Visa, MasterCard, and American Express are accepted at our Kathmandu office. Please note that credit card transactions in Nepal are subject to a mandatory 3.5% to 4% bank processing fee levied by the local merchant acquiring bank.
• International Wire Transfer: SWIFT telegraphic transfers are accepted for advance deposits and advance balance payments. All intermediary bank charges must be covered by the remitter.

We understand that unexpected circumstances such as personal emergencies, illnesses, or travel restrictions can occur. Cancellation requests must be submitted to Nepal View Trek in writing via email ([email protected]). The effective date of cancellation is the date the email is officially received during Kathmandu business hours.

Himalayan weather and mountain logistics are unpredictable. Flights into mountain airstrips such as Lukla (Tenzing-Hillary Airport), Jomsom, or Juphal are weather-dependent and frequently face delays or cancellations due to dense cloud cover, crosswinds, or sudden monsoonal storms.

In the event of flight delays, landslides, road blockages, natural disasters, epidemics, political strikes, or unforeseen events ("Force Majeure"):

• Nepal View Trek will make all reasonable efforts to reroute the itinerary, arrange helicopter alternatives (subject to seat availability and extra airline helicopter charter costs paid by the client or covered by travel insurance), or arrange alternative mountain valleys.
• Any additional accommodation, meals, or private transportation costs incurred due to flight delays or extra unplanned days in Kathmandu or mountain villages are the direct financial responsibility of the client.
• We strongly recommend that all travelers maintain at least 1 to 2 buffer days in Kathmandu at the end of their trekking itinerary before catching international return flights.

Comprehensive travel insurance is strictly mandatory for all clients undertaking trekking, peak climbing, or overland expeditions with Nepal View Trek. You must provide a valid copy of your insurance policy, policy number, and the 24-hour international emergency assistance hotline number during our pre-trip briefing in Kathmandu.

Himalayan trekking requires good cardiovascular endurance, stamina, and mental resilience. Travelers are responsible for choosing an itinerary suited to their physical fitness level and consulting a medical practitioner prior to travel.

Medical Pre-Conditions: You must disclose any pre-existing medical conditions, heart or lung conditions, severe allergies, or regular prescription requirements on our booking form.

Acute Mountain Sickness (AMS): Our itineraries strictly incorporate proven acclimatization days following the Himalayan Rescue Association (HRA) safety protocols. All our licensed guides carry pulse oximeters to measure blood oxygen saturation and pulse rates daily. If symptoms of severe AMS, HAPE (High Altitude Pulmonary Edema), or HACE (High Altitude Cerebral Edema) manifest, the lead guide holds the ultimate authority to order immediate descent.

All international travelers entering Nepal must possess a passport valid for at least six (6) months beyond their intended departure date from Nepal, with at least two blank visa pages.

• Nepal Tourist Visa: Most nationalities can obtain a Tourist Visa on Arrival at Tribhuvan International Airport (TIA) in Kathmandu, or apply online via the Department of Immigration portal within 15 days of arrival. Tourist visa fees (15 days: $30 USD; 30 days: $50 USD; 90 days: $125 USD) are payable in cash or card at airport immigration counters and are not included in trip costs.
• Trekking Permits: Nepal View Trek will arrange all mandatory TIMS (Trekkers’ Information Management System) cards, National Park entrance permits, and Special Restricted Area Permits (e.g. Upper Mustang, Manaslu) on your behalf. You must provide high-resolution digital passport scans and passport-size photos at least 10 days before arrival.

Our expeditions are led by government-licensed, wilderness first-aid certified trekking guides. The lead guide represents the Company in the field, and their decision regarding route selection, safety, weather hazards, pace, and altitude medical decisions is final and binding.

Clients are expected to abide by local cultural customs, environmental regulations, and the laws of Nepal. Disruptive, abusive, or dangerous behavior toward fellow travelers, guides, porters, or local communities—or any engagement in illicit substances—will result in immediate termination of the trip without any entitlement to a refund.

We are committed to the ethical welfare of mountain porters under the guidelines of the International Porter Protection Group (IPPG).

• Weight Allowance: The maximum allowable weight for your main duffel bag carried by our porter is 12 to 15 kg (26 to 33 lbs) per trekker (typically one porter carries duffels for two clients, maximum 25-30 kg total).
• Daypack: You will carry your own small daypack (typically 20-30 liters) containing your camera, water bottles, rain gear, warm jacket, sun protection, and personal valuables.
• Excess Luggage Storage: City clothes, suitcases, and non-trekking gear can be securely stored free of charge at our Kathmandu office or your partner hotel until you return from the mountains.

While Nepal View Trek exercises utmost care, professionalism, and thorough safety planning, the Company, its directors, employees, guides, and affiliated service providers shall not be held liable for personal injury, illness, emotional trauma, death, property damage, loss of personal items, or delays resulting from:

• Acts of God, natural catastrophes, avalanches, rockfalls, earthquakes, or severe weather conditions.
• Civil unrest, strikes, government border restrictions, or flight groundings.
• Client’s failure to comply with guide instructions, safety gear requirements, or local regulations.
• Failure of the client to secure adequate travel, high-altitude medical, and rescue insurance.

If you encounter any dissatisfaction with accommodations, guide services, meals, or logistics during your journey, you must inform your lead guide immediately so that corrective measures can be implemented on the spot.

If the matter cannot be satisfactorily resolved on the trail, please notify our Managing Director in writing at our Kathmandu office or via email within 14 days of completing your trip. We are committed to fair, prompt, and transparent resolutions.

These Terms and Conditions and any dispute or claim arising out of or in connection with them shall be governed by and construed in accordance with the laws of the Federal Democratic Republic of Nepal.

Any legal proceedings, arbitration, or claims shall be subject to the exclusive jurisdiction of the competent courts of Kathmandu, Nepal.
